Subconsultants Guide

This guide explains how to record the outside firms you engage on projects: adding a subconsultant with its contract, what TDS the app works out, and how to find and change a contract later.

It is intended for the Org Owner and for any other Org Admin. The screen layout is described in the Employee Guide, and the lists that the contract form chooses from, such as contract types, in the Organisation Admin Guide; neither is repeated here.

Subconsultants and their contracts

A subconsultant is an outside firm or professional engaged on one of your projects. Each engagement is a contract, recorded against a project.

Subconsultant
The outside firm or person: name, contact, email, phone and specialisation.
Contract
One engagement of a subconsultant on a project: its type, dates, value, hourly rate and status.
Contract type
The kind of contract, such as Fixed fee or Hourly. You choose from the types your company has set up.
Contract ID
An optional reference you type, often the number the client or the firm uses. It appears on the contract and is the same one you quote on invoices.
TDS
Tax deducted at source on the fee. Terranix works it out from the contract value, the TDS section and the type of payee, and shows it before you save.

Add a subconsultant and its contract

One screen saves the subconsultant, its sign-in and its first contract together. If anything is refused, nothing is saved.

2

First, make sure you have a contract type

Computer only

The contract form makes you choose a contract type. Terranix does not choose one for you.

If your company has none yet, the form says so under the Contract Type box. Add one first in Master settings, Subconsultant Contract Types.

The contract types are kept in Master settings; that screen is pictured in the Organisation Admin Guide.

The subconsultant's details

Computer only

Enter the firm's name, a contact person, an email, a phone number and what they specialise in. All five are required.

  1. 1The firm's name.
  2. 2Who you deal with.
  3. 3Also the email the sign-in is made for. It must not already be used by anyone in Terranix.
  4. 4A phone number.
  5. 5What they do.

The contract

Computer only

Below the details is the contract. Choose the project and the contract type, enter the start and end dates, the contract value and the hourly rate.

Contract ID is optional. Type the number the client or the firm uses, if there is one.

Contract file is optional too. Choose the signed contract, as a PDF or a picture. Terranix keeps it with the contract so you can open it later.

As you type the contract value, TDS is worked out and shown in the last box. You can change that figure.

  1. 1The project this engagement is for.
  2. 2Fixed fee, Hourly, or another type your company has set up. Required.
  3. 3Optional. Must be different from every other subconsultant contract's ID in your company.
  4. 4TDS on the fee. Worked out for you; you may change it.
  5. 5Optional. The signed contract (PDF or picture, up to 10 MB). Press it to choose the file.

Save, and hand over the sign-in

Computer only

Press Save. Terranix creates the subconsultant, a sign-in for them and the contract in one go, and shows a temporary password once, with a Copy Credentials button.

Share it with the subconsultant. It works for 48 hours and must be replaced at first sign-in.

Saving writes records, which the guide's capture never does.

A subconsultant's page

Computer only

Click a subconsultant in the list. The page shows their details and every contract: the project, type, dates, value, hourly rate and status.

Under the table, Contract files lists each contract with its Contract ID. Open contract file shows the signed contract. Attach file adds one to a contract that has none, and Replace file swaps it for a newer one; the file is saved at once.

Contracts can be edited in the table. A change to a contract's dates, value or rate may go to an approver before it takes effect; the row then says it is pending approval.

  1. 1The subconsultant's details.
  2. 2Their contracts.
  3. 3Each contract's signed file. Open it, attach one, or replace it.

Add another contract to an existing subconsultant

Computer only

Further down the same page, Add new contract (optional) holds the same fields as the contract part of the add screen. Press Enable to show them.

Fill them in and press Save changes at the foot of the page. The contract is added together with any other changes you made.

  1. 1Required. Choose from your company's contract types.
  2. 2Optional. Unique within your company, as on the add screen.
  3. 3TDS, worked out from the contract value. You may change it.
  4. 4Optional. The signed contract, kept with this contract.
